Booking and Payment Terms

Deposit

When the quote has been accepted a 20% deposit of the quote needs to be paid to secure your booking. Bookings are minimum 3 nights for peak nights.

Your booking is confirmed when:

  1. Credit card (Visa and Mastercard only) has been approved – a payment surcharge of 2% applies.

  2. Direct debit verification has been sent to us or monies have been accepted in our account – all bank charges known as “correspondent charges” are to be paid by the sender.  This is the responsibility of the customer.

At this time we will require names and addresses of all customers along with child ages if any.

On receipt of payment a receipt and booking summary will be issued.

Final Payment

Final payment is due no later than 60 days prior to guest’s arrival.

On receipt of your final payment you will receive your booking summary and receipt.  

Any bookings made within 60 days of arrival require 100% payment.

*NB: Non-payment of deposit or final balance may lead to automatic cancellation. Payment of a deposit constitutes acceptance of our booking terms and conditions.

Please note all transactions are converted to Yen unless stated otherwise.

Cancellation fees

If cancelling more than 60 days prior to arrival, a cancellation penalty of 15% of invoice total (loss of deposit) will be retained by Taiyo Yuki.

If cancelling between 60 days and 20 days prior to arrival, then a penalty of 30% of booking invoice total will be retained by Taiyo Yuki Ltd as cancellation penalty.

If cancelling less than 20 days prior to arrival, then a penalty of 90% of booking total will be retained by Taiyo Yuki Ltd as cancellation penalty.

Taiyo Yuki Ltd shall not be liable in case the booked services are not available due to the occurrence of any event beyond its reasonable control including, but not limited to, operation of laws, regulations and orders, war, riots, strikes, accidents, explosion, snowstorms, fires, earthquakes, epidemic, flood, typhoon or other natural disasters, supplier bankruptcy, or any other similar circumstances.

Management reserves the right to cancel a booking with full refund if there is an ownership change.

Amendment fees

These are charged if amendments are made to bookings (eg change of dates or decreasing numbers of people travelling).

Any amendment to a booking (eg change to dates of travel) could incur a 4,000 yen total charge per change.  Date changes can only be made (subject to availability) within the same season should the client wish to change their booking.  Bookings are minimum of 3 nights so reduction less than 3 nights will incur an additional fee.

If an amendment involving a reduction in the number of persons travelling occurs at any time the above cancellation penalties and terms apply to the person who is cancelling. The package price for the remaining persons will be amended accordingly.

Taiyo Yuki Ltd reserves the right to cancel any booking at any time due to anti-social, drunken or unruly behaviour by guests. There will be no refunds in such cases.

What to include in the T&C document

Generally speaking, T&C often address these types of issues: Who is allowed to use the website; the possible payment methods; a declaration that the website owner may change his or her offering in the future; the types of warranties the website owner gives his or her customers; a reference to issues of intellectual property or copyrights, where relevant; the website owner’s right to suspend or cancel a member’s account; and much, much more.
